School Trip Risk Assessments

The Key to a Safe and Successful School Trip

As any school tour organiser or Educational Visits Coordinator will be well aware, a formal and thorough Risk Assessment is a mandatory requirement and essential to the planning of a safe - and successful - trip.

A school trip abroad has many components - transport, crossings, accommodation, meals and excursions. There is therefore much to consider when taking children overseas to ensure that Teachers, Parents and Pupils alike are all assured that they are in safe hands. At Euroculture, the security, safety and well-being of school groups who travel with us are our priority. We are here to ensure that all due care and attention is taken every step of the way from the initial enquiry until the travellers have all safely returned to the school gates.

Accommodation Centres

On a very basic level, all the residential centres we use for our visiting schools have the full accreditation and safety certificates required by French Law for providing accommodation to minors. Indeed, many are purpose-built or adapted to host school-age groups and furthermore must pass Euroculture's own high standard quality and safety inspections.

Our team checks suitability of each site for each group and notes the grounds, public access, entrances and immediate surroundings. We check that adequate precautions are taken to prevent emergencies and that appropriate arrangements are in place in the event that one occurs - for example out-of-hours staffing, emergency lighting, fire exits, signage etc. Internally, types of window locks and catches, corridor lighting, as well as general kitchen and washroom hygiene standards are also subject to our scrutiny.

The coach companies we work in partnership with have modern fleets and we book only executive vehicles for our groups. Drivers are all DBS checked and all safety regulations covering numbers of drivers and drivers' rest hours are factored in at the itinerary planning stage. The feedback we receive when the schools have returned from their tours are vital for providing us with current information on the comfort of the coach and the suitability of the drivers themselves.

Forward Planning and Risk Management - from Start to Finish

After confirming your visit, the tour organiser will receive a copy of our comprehensive five page guide ‘Forward Planning and Risk Management’. This has been designed to cover in detail the steps to be taken from day one until departure and includes a check list so that nothing is overlooked along the way.

Our personalised Group Leaders’ Travel Packs include six pages of Risk Assessments. These files cover everything you will need to know during your tour – addresses, phone numbers, maps and so on. The packs are sent a minimum of two weeks before travel.

When you are away, you will of course be able to take advantage of our 24 Hour Emergency contact service if there is any issue which needs our assistance or attention.
