Budgets and Payments

Tailor-Made School Trips with Flexible Terms

Euroculture specialise in creating tailor-made educational and cultural tours to Europe for schools. Therefore, that our payment terms are also built around the school calendar. We also understand the recruitment process and the conflicting financial pressures that families face throughout the year.

Our basic payment terms are quite simple. We require a 25% deposit to confirm a booking and secure the accommodation and transport. This payment may be higher if, for example, the school trip involves travel by air. Further instalments are payable at regular intervals to spread the burden on the school administration and the pupils’ families.

Our standard terms allow schools to recruit pupils without an onerous lump-sum paid up-front. Where possible, we request that trip payments are spread evenly on receipt of invoice as follows:

* Provisional Booking: 25% initial deposit (non-returnable) for the whole group (may be higher if flights are arranged);

* Two interim payments of 25% each spread conveniently;

* Final balance payment to be received no less than 8 weeks prior to departure.

Flexibility – A Payment Scheme To Suit Your School and Your Calendar

We encourage schools, wherever possible, to book their trip as early as possible in order to avoid the  disappointment of missing out on the best accommodation and most convenient timings. Where a provisional booking is made at least twelve months in advance of travel, we can make special arrangements with the school for a simple nominal holding deposit to be made in lieu of the initial 25% usually expected. If this is the case, we will agree a revised payment schedule to reflect the particular situation.

If it is helpful, the schedule of payments does not have to be limited to four equal amounts on four dates. We are more than happy to work with schools to find the most suitable spread of dates and payments depending on the programme and local circumstances.

Fully Inclusive Packages

The price we quote you for your trip will be subject to a minimum number of students travelling and will usually need to be adjusted if the school is not able to recruit at that level. It may also be possible to achieve a discount if the numbers are significantly higher than originally planned where those additions can be accommodated by the residential centre and on the arranged transport. These factors will be discussed with you during the booking process and we will work with schools to make the trip work for the budget – whatever the numbers.

The final invoice will reflect all the considerations above and the final programme – number of pupils, number of adults, the activities and excursions undertaken. The full amount will be required no less than eight weeks prior to departure.
